Position Summary

The Proposal Specialist develops, executes, and manages the proposal life cycle for customer-facing proposals, Requests for Proposals (RFPs), Requests for Quotes (RFQs), pre-qualification documents and proposal presentations for the sales organization. As the proposal process subject matter expert, this role interacts with multiple levels of the organization including senior leadership to craft creative and customer-centric responses that support current business strategies and align with FedEx Office branding and legal guidelines.

General Duties and Responsibilities

Team with Customer Solutions, Operations and Commercial Pricing to develop Proposal Solution

Review and interpret RFPs against corporate capabilities; conduct additional customer research and participate in customer RFP Q&A sessions to aid in the proposal process

Lead efforts to improve proposal management process and present recommendations to management

Write, edit, format and design proposals, presentations, and other documents to be client-centric and tailored to RFP guidelines

Collaborate with the sales team and management to identify and evaluate barriers of selling that impact proposal response

Possess an understanding of sales support model, proposal best practices and changing competitive landscape to benchmark win rates against industry standards

Maintain consistent interaction with Proposal Team, Legal, Customer Solutions and others as needed to effectively comply and respond to RFP requirements

Perform ongoing project management, including management of people, timelines, tasks, issues and risks associated with proposal responses

Produce print-ready final responses and manage confirmation of final delivery of all proposals.

Minimum Qualifications and Requirements

Bachelor's degree in Marketing, Journalism, Communications or related field

Master's degree preferred

5 years proposal writing or related experience

2 years sales, sales support or customer-facing roles focused on developing business relationships

Prior experience with sales processes, operations, organization/workflow and customer agreements

Advanced proficiency with Microsoft applications (Word, Excel, Visio, SharePoint and PowerPoint) and Adobe Creative Suites

Experience leading and facilitating cross-functional design/work teams with both field and corporate members

Prior experience in project management and process improvements

Training and/or certification in formal proposal methodologies and industry-wide best practices in proposal management preferred

For new hires, must meet all FedEx Office employment qualifications in force at time of hiring

For current FedEx Office team members, must meet hiring criteria for the position and transfer requirements as outlined in the Team Member Handbook

Ability, on a consistent basis, to report regularly to work and maintain established business hours in order to support the FedEx Office business; regular attendance and/or reporting could include regular attendance at a physical location and/or maintaining established business hours depending on the scope and nature of the position

Quality Driven Management (QDM)

Works with management to reduce company costs/wastes, and to optimize profitability in areas of responsibility
