**Role Summary:**

BHGE has an exciting opportunity for a Communications Coordinator & Administrative Assistant in our Aldine Westfield, Houston, TX, supporting the Chief Communications Officer.

The Communications Coordinator & Admin Assistant supports the Chief Communication Officer and his leadership team and is instrumental in managing matters of a routine or non-routine nature to conserve the executives time, and performs all necessary administrative and coordination support tasks to advanced level.

**Essential Responsibilities:**

The Communications Coordinator & Administrative Assistant will be expected to maintain the highest level of discretion and unwavering confidentiality, as well as be proactive to stay ahead of scheduling conflicts. This individual must be a resourceful, hands-on person that can take swift and seamless action to coordinate across time zones and conflicting schedules.

In the role of Communications Coordinator & Administrative Assistant, you will:

Conducts a wide variety of administrative tasks including, but not limited to:

Prepare reports, presentations, correspondences, organizational communications.

Collect budget estimates from across the various teams of the function, critically examining them for correctness, accuracy and completeness and conformance with established procedures and practices.

In partnership with the Comms budget coordinator, work directly with the Chief Communications Officer in coordinating the overall Communications budget ensuring a holistic view of spend and financing across the function on a quarterly and annual basis

Support vendor purchase order and requisitions, including vendor on-boarding, PO requests, receiving, and reconciliation of payment invoices across the function

Coordinate resolution of vendor issues as required, working with Sourcing and the budget coordinator

Prepare a global list of all qualified Communications vendors and ensure that it is maintained up to date

Filing / maintaining records, calendar management, meeting coordination and other similar duties

Process expense reports ensuring accuracy and submission in a timely manner

Make travel arrangements including visa logistics, coordinate events, conferences, meetings and lunches

Work under limited supervision. Operates with great latitude using independent judgment, initiative and a high level of discretion

Handle special projects as assigned

Support other members of the Communication leadership team as needed **Qualifications/Requirements:**

Bachelor's Degree from an accredited college or university (OR High School Diploma / GED with a minimum 4 years of experience in Administration and Support with minimum 4 years of administrative experience supporting top management) **Desired Characteristics:**

Previous experience in a communications role will be important, but not mandatory, in grasping the core areas of expertise of the function and correlated activities

Demonstrate the ability to work within a team, as well as autonomously

Key insights on financial management and forecasting will be important

Need to demonstrate advanced computer proficiency, particularly in setting up audio / visual meetings, creating and developing presentations, compiling spreadsheets, and completing ad hoc projects

Advanced computer skills in Microsoft Outlook, Word, Excel, PowerPoint, and Audio/Visual meeting tools

Ability to operate with great latitude using independent judgment and initiative and a high level of discretion

Capacity to work effectively under pressure in ambiguous and complex situations

Exceptional organizational and time management skills in maintaining executive calendar, travel arrangements, and expenses

Maintain utmost confidentiality with sensitive and personal information
