Position Overview:
Provides sales coordination and administrative support to the Vice President of Sales for the U.S. Pool division.  Collaborate with Marketing department to assist in sales and marketing promotions.

Navigate CRM and create reports, update customer information, identify sales opportunities, contact customers, create target lists; Track competitor information, sales team performance and marketing campaign effectiveness for the VP of Sales
Liaise between Product Management, Marketing and the Sales team for all product launches, drafting communication materials to roll out new products such as the introduction letter, PowerPoint slides, brochures and information on displays
Participate in setting up sales tradeshows, plant tours, company-sponsored events and promotions
Conduct vendor management with various product and service vendors. Also be the first point of contact for all incoming sales calls to the VP of Sales, evaluate opportunities for improving existing programs, services, giveaways, etc. and pitch appropriate vendors to VP of Sales
Coordinate Sales and Promotional Marketing Programs and Projects; draft and edit promos, cover letters, and other correspondence
Create marketing materials for customers such as brochures, cut sheets, posters, product booklets and binders
Create and distribute Monthly Sales reports using Cognos and Brag Reports using SalesForce
Create, organize and maintain a research library in Google Drive of industry sales presentations and documents
Assist VP Sales in annual sales budget planning and administration
Assist in coordinating the scheduling & planning of annual events (such as the Annual National and Regional Sales Meetings), conferences, trade shows, and conference calls; negotiate contracts getting Hayward the best deals possible
Maintain promotional inventory tracking and procurement of new marketing suppliers and materials
Lead special projects as assigned by VP, Sales such as creation of Hayward videos, training schedules promotional materials, etc.
Administer Secret Shopper Program and conduct local pool store visits
Manage the scheduling and implementation of customer training sessions; manage regional budgets with cooperation from Finance
Provide day-to-day sales administrative support to the VP of Sales including but not limited to:

Prepare and follow up on sales and marketing related check requests
Prepare monthly expense reports for all \u2018P-card\u2019 department expenditures
Provide coverage for corporate Executive Assistant or others in their absence, as needed
Screen telephone calls and manage incoming sales and marketing related calls
Review incoming mail, make copies, phone correspondence and follow up
Develop and maintain a heavy travel schedule for VP, Sales in addition to the Sales team where requested by the VP


2 years administrative or coordination experience in a Sales or Marketing department strongly preferred
Exemplary Writing and Editing Skills
Creative, Highly Organized, Articulate and Detail Oriented
Demonstrates follow through and initiates tasks, projects and improvements; Resourceful, pro-active self-starter and innovative
Upbeat personality and represents the Sales department professionally
Ability to learn computer programs quickly
Ability to work independently and manage and complete projects and multitask
Ability to maintain confidentiality of programs and initiatives
Travel: Ability and willingness to travel domestically (<5%)

MS Office: Strong Excel, Word and PowerPoint required. Access or other database skills and experience with reporting software preferred.  Lotus Notes experience a plus.  Adobe CS: Photoshop, Illustrator, InDesign, Dreamweaver preferred.  Experience with CRM software a plus.
4-year college degree in Business, Marketing, English, Communications or other relevant field of study preferred;
or equivalent combination of education and experience.
