Job Summary

This position will provide primary event and communication support to the departments of Asian Languages & Cultures, Germanic Languages & Literatures, Near Eastern Studies, Romance Languages & Literatures, Slavic Languages & Literatures and the Institute for the Humanities; a few hours over the course of the year will also be provided to the Humanities Collaboratory. This position will be part of a shared services events and communication team for the units named that are located in the Modern Languages Building (MLB) and Thayer Academic Building (TAB). The position will report to three Chief Administrators. Occasional weekend and evening work may be required in support of events.

Seasonal Appointment: This position is full-time from August 1st through May 15th. The appointment is reduced to 80% from May 16th through July 30th.


Event Planning - 70%

Work directly with event sponsors/faculty to coordinate all needed logistics for events including flights, ground transportation, lodging, venues, A/V and tech, catering, and other event-specific needs. Work with travel agent and/or vendors to ensure flights, lodging, ground transportation, etc. are paid in a timely manner. Set up for events and coordinate break-down of events. Work with Graphic Artist to promote events. Prepare materials related to the events including but not limited to itineraries, programs, and other print material.

General Administration – 20%

Understand and interpret U-M, LSA, and other relevant policies and procedures related to hosting, events, and communications. Coordinate processing of honorarium and reimbursement payments with the MLB Business Office and/or SSC. Create and track event budgets. Ensure events and publicity are within outlined budgets; discuss anomalies with appropriate supervisor. Submit Pcard transactions for reconciliation by the SSC per LSA policies and timelines.

Communications and Graphic Design – 10%

Provide back-up support for Graphic Designer and communications/web support. Create posters and flyers for events with templates. Serve as an active member of the social media team. Assist with electronic mail campaigns related to events and other activities. Assist with content and coordination of regular internal unit newsletters via MailChimp.

Required Qualifications

Two or more years of experience with event planning, preferably in an academic setting. Extremely high attention to detail and accuracy of work along with excellent written and verbal communication skills are necessary. The successful candidate must have the ability to work in a fast-paced, dynamic environment with multiple and sometimes conflicting deadlines with a high level of interest in and ability to collaborate effectively with a wide variety of constituents (faculty, upper level administration, staff, etc.). Proven ability and willingness to work with diverse populations. Prior experience with Google Mail, Google Docs/Microsoft Word, and Google Sheets/Microsoft Excel is required. Prior experience creating and managing budgets. This position requires someone who is motivated to work for multiple units and understands the inherent complexities of this type of environment. Ability to work with/for multiple supervisors. This position requires a candidate who is driven to create efficiencies and share ideas between units in order to enhance the support provided to all units.

The person in this position must have the ability to easily move across campus with a cart of equipment, food, or other items needed for event set up. Ability to move a cart weighing up to 50 pounds is required as well as the ability to move 10-15 pounds of such items if needed. Chosen candidate must have the ability to physically set up and tear down for events including moving and arranging tables, chairs, and mobile equipment. This position requires the ability to move materials weighing up to 25 pounds to a height of 3-4 feet and set them on tables, carts, or other surfaces. The person in this position frequently communicates with individuals for whom English is not their first language; he or she must be able to exchange accurate information in these situations.

Desired Qualifications

At least one year of experience providing event support at the University of Michigan. One year of experience writing content for print- and/or web-based publications including social media. Experience with a variety of Google tools such as Forms and Sites. Demonstrated ability to successfully and simultaneously manage multiple complex projects. Familiarity with the University of Michigan structure, the College of LSA and humanities units within LSA and their resources and policies as well as experience adhering to UM's style guides.
