Over the past five years—with 2.2 million people behind bars—we’ve reached a tipping point, and justice reform has become mainstream. It’s on the front pages, it’s bipartisan, it’s got new funders, it’s attracting cultural attention. Vera has been on the cutting edge of this change. Long known for our research and technical assistance, communications has more recently become one of the core pillars of how we do our work. Accordingly, we have more than tripled our communications team and devoted unrestricted dollars to our work over five years. Importantly, we embed communications in our program and project work from the start. Our efforts have paid off—with an award-winning rebranding and website overhaul, significant media attention, dramatic growth in social media followers, and new partnerships.

We need to leverage the increased attention to justice and to Vera’s work in particular by deploying communications strategies to elevate our issues and our brand. We are seeking an Editorial Assistant to join a growing and diverse team of strategic content, messaging, digital, and media experts.

What You’ll Do

Reporting directly to the Editorial Strategy Director and working closely with the editorial team on a daily basis, the Editorial Assistant will handle the administrative work of the fast-paced editorial team and work collaboratively to support and strengthen the communications efforts at Vera. The Editorial Assistant will gain experience with editorial processes and be responsible for assuming a variety of administrative, editorial, and web-related tasks.

The Editorial Assistant’s responsibilities include:

Helping to manage the editorial team’s projects using Basecamp and Smartsheets, as well as the intake of editorial requests

Copyediting and proofreading reports, fact sheets, blog posts, and other materials using Adobe Acrobat DC marking tools, the Chicago Manual of Style, and Vera’s in-house style guide

Writing web abstracts and landing pages for publications

Performing fact checking for op-eds, blog posts, and other publications

Conducting image research and licensing

Drafting and uploading consultant contracts for review by Vera’s legal team

Handling invoices and facilitating payments for editorial consultants and guest writers

Reviewing and responding to emails and phone inquiries

Coordinating team logistics—scheduling meetings, organizing agendas, and making travel arrangements

What We Need in You

Passion. A deep knowledge of and demonstrated commitment to criminal justice issues or a background with a similar mission-driven organization.

Time management and attention to detail. Excellent organizational skills, and the ability to manage work on multiple projects efficiently in a fast-paced, deadline-driven environment. The Editorial Assistant needs to work effectively both with and without close supervision.

Expertise. Excellent writing, grammar, proofreading, communication, and interpersonal skills. Proficiency in the Chicago Manual of Style.

Additional Qualifications

At least one year of relevant editorial and administrative experience, including internships or volunteer experience.

Proficiency in Microsoft Office Suite, Adobe Acrobat DC, and Smartsheets and familiarity with content management platforms, as well as adeptness at learning new programs and platforms.

A demonstrated ability to work with people from diverse backgrounds.

Preferred Qualifications

Bachelor’s degree in English, journalism, communications, or a related field.

Demonstrated proofreading and copyediting experience.
