The Office of Academic Personnel leverages its subject matter expertise and institutional perspective in academic personnel administration to support the recruitment and retention of the **MEMBERS ONLY**SIGN UP NOW***.'s world-class community of faculty, librarians, and academic staff. The Vice Provost for Academic Personnel invites applications for a Communications Specialist to provide professional expertise in conceptualizing and leading communication between the Office of Academic Personnel (AP) and its stakeholders, which include academic and central business units, and faculty and other academic personnel both within and beyond the **MEMBERS ONLY**SIGN UP NOW***.. This newly- defined position will work closely with AP executive leadership and teams to develop a communication strategy and communication standards that advance AP and UW priorities, manage and coordinate all mass communication to stakeholders via a variety of delivery mechanisms including the AP website, develop and oversee communication and training calendars, and cultivate an outreach program as a means of informing AP decision making. In serving the UW community, the Communications Specialist joins the entire Academic Personnel team in promoting and continually aspiring to excellence, collaboration, integrity, innovation, diversity, and respect. Academic Personnel communicates important issues impacting a large number of staff and faculty in academic units. Clear, timely communication of important policies, processes, and related changes is critical to the efficiency and accuracy of the work performed in academic units. Issues include, but are not limited to, information/policy around academic appointments, visa sponsorship, compensation, recruitment, promotion and tenure, payroll, leave, compliance, etc. These issues can have a direct impact on academic personnel hiring, retention, pay, and institutional compliance. The Communications Specialist must be able to understand and interpret complex business, technical, and policy issues, and must be able to communicate these issues clearly and concisely--often employing superior technical writing skills. As the 'voice of Academic Personnel, it is critical that the Communications Specialist demonstrates professionalism, integrity, superior verbal and written communication skills, and excellent customer service. Duties & Responsibilities Communication and Outreach Delivery • Manage and coordinate the delivery of mass communication with academic units, central business units, academic personnel, and other stakeholder populations which may include, but is not limited to, ad-hoc and cyclical announcements, serial newsletters, blogs, presentation materials, FAQs, and process guides; leverage technical writing skills to effectively synthesize information from subject matter experts. • Provide leadership in conceptualizing, revising, and maintaining a useful, relevant, accurate, and user- friendly web presence; work with Project & Innovation Management team to ensure web updates are deployed. • Develop, coordinate, execute, and evaluate the effectiveness of an outreach program to build relationships and understand the customer experience and perspective; facilitate focus groups; participate in developing and deploying related training; communicate and represent customer feedback to AP teams and leadership. Strategy and Collaboration • In conjunction with AP leadership, manage the development, implementation, and evaluation of a comprehensive strategic vision of excellence in customer service and institutional compliance, through the lens of Communications and Outreach. • Lead discussion and activities to develop and promote a coherent organizational identity for the Office of Academic Personnel. • Identify issues that transcend or impact multiple teams and opportunities for innovation and collaboration in the context of AP strategic priorities and vision; collaboration in the development of recommendations and/or solutions. Communications Standards and Planning • Design and implement communication standards and strategies, establish guidelines for notification of changes to policy, practice, process, format, forms, deadlines, etc. • Conceptualize and oversee the organization’s calendar of formal training offerings, recurring and/or large scale group meetings with stakeholder populations, and other formal or informal opportunities for effective delivery of information; consult and coordinate as appropriate with campus and/or academic partners to develop and deliver joint training opportunities. • Conceptualize and oversee the organization’s calendar of major cyclical academic personnel activities with sensitivity and appropriate transparency around timing of events, timing of communication, training, and policy/process change decisions; coordination of efforts to understand internal (organization) and external (audience) requirements/best practices. Requirements include: Bachelors degree in Communication, Marketing, Business Administration, English, Journalism, Public Relations, or related field Four years’ experience in a professional business environment that includes evidence of: - Demonstrated ability to develop effective communication strategies and plans - Development and delivery of clear communications using a variety of methods - written documentation, website content, graphics, individual and large group meetings, etc. - Experience working collaboratively with colleagues at various levels in an organization from administrative staff to senior leadership - Experience using a variety of technology tools to support effective communication (e.g., Word, Excel, PowerPoint, Visio, other graphics and publishing tools) - Effective technical writing skills - Demonstrated ability to self-direct and work independently - Demonstrated commitment to serving diverse populations/communities representing a range of social, economic, cultural, ideological, racial, and/or ethnic backgrounds. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/ certification/registration. Desired: Experience working with HR personnel and related business processes and policies Experience with WordPress or equivalent web authoring tools Experience working in higher education and familiarity with the complexities of academic appointments Survey design experience Experience designing and planning training strategies, including web-based training and webinars As a UW employee, you will enjoy generous benefits and work/ life programs.
