Department Name\/Job Location This position is in the Dean's Office for the School of Medicine.\u00a0 Essential Functions POSITION SUMMARY : The Executive Coordinator for Senior Scientific Faculty Recruitment is responsible for working closely with the Executive Vice Chancellor and Dean in his work with other academic leadership of the School of Medicine in the overall coordination and support of the processes and functions related to senior scientific faculty recruitment. The School of Medicine is actively recruiting a number of scientific leaders as part of the BJC Investigator Program. The program is designed to specifically focus on basic science and is inspired by the Howard Hughes Medical Institute\u2019s philosophy of investing in people with exceptional creative talent. It plans to bring a number of renowned researchers to Washington University School of Medicine and the life sciences ecosystem of St. Louis. The incumbent in this position will provide direct assistance and support to the Dean and the search committees and their chairs in organizing visits by potential BJC Investigators. PRIMARY DUTIES AND RESPONSIBILITIES : Coordinates meetings, communications, events and reports related to search committee activities. Oversees the development and distribution of agendas, meeting logistics and minutes for search committee meetings. Drafts correspondence in support of the Dean and\/or Chairs of these committees. Oversees and monitors the management of the BJC Investigator searches and search committees including preparation of recruitment information packages. Serves as a liaison, at the direction of the Dean, through direct communication with prospective candidates to assess personal needs of candidates and to assure interviews are structured to address those needs. Coordinates scheduling of visits, seminars and interviews as well as scheduling community\/real estate tours for candidates and their families, as required. Makes travel arrangements and escort candidates to\/from meeting and events. Disseminates information to search committee members and other appropriate parties. Required Qualifications Bachelor\u2019s degree, preferably in English, Communications or Business Administration with 5-7 years of high level\/executive support or other relevant administrative experience.\u00a0 Demonstrated organizational skills, ability to prioritize workload, track assignments and provide organizational support for leadership team. Proficiency in the Microsoft Suite is required. Strong analytic skills and financial acumen and ability to assimilate detailed information and pull out essentials would be a plus. A demonstrated understanding of governance and decision making processes and the operations of committees is preferred. Preferred Qualifications Experience working in a senior executive environment highly desired. Excellent interpersonal and communication skills make a compelling communicator who can gain the attention of busy senior academic leaders and recruits; articulate with acumen and able to engage in a polished and professional manner. Self-starter with excellent proven written and oral communications skills and strong editing skills; but one who can take direction and seek necessary consultation. Understanding when to act autonomously and when to seek consultation and collaborating as part of a team are dually vital. Ability to exercise discretion in dealing with confidential or sensitive information. Ability to successfully execute multiple, simultaneous projects on tight timelines, in a fast paced and sometimes stressful environment, with quality results. Ability to filter information and assess priorities. Excellent attention to detail and deadlines. Ability to interact effectively with a variety of people at different levels and idiosyncratic personalities in a diverse and multi-cultural environment.
