GENERAL SUMMARY:

The Donor Relations Communication Coordinator is a creative and process-driven individual who will play a key role by being responsible for advancing ASUF’s relationships with benefactors in order to provide a positive experience, enhance donor retention, and facilitate future giving. The donor relations communication Coordinator will perform work to support the achievement of ASUF’s goals of cultivating, sustaining, and nurturing lifelong relationships between donors and the university.

In partnership with the entire donor relations team, the communication Coordinator will provide critical communications support to acknowledge and recognize donors for their philanthropy, express gratitude and demonstrate the impact of donor investments in a timely, meaningful and personal manner through a coordinated, strategic plan. They will help create a gratitude plan and implement donor relations projects and retention strategies. This position reports directly to the Associate Director, Donor Relations.

What you'll do:

Assist Donor Relations with executing a comprehensive and effective strategic communications/gratitude program that enhances recognition of donors and communicates the impact of a donor’s investment to the university

Design, standardize, update, and manage the gift acknowledgement process for all types of gifts and segments of donors to ensure they are thanked appropriately, professionally, and accurately in a timely manner

Write acknowledgement letters for all types of gifts and segments of donors; priority given to presidential acknowledgement.

Work closely with internal departments within the foundation to ensure the accuracy of data relating to donor gifts and endowed funds

Provide content development and editorial assistance as needed

Assist in developing, managing and executing endowment reports and impact reporting projects

Effectively utilize databases, software and related technology in order to support systems and strategies that enhance the execution and success of donor relations and recognition projects

Design and implement donor surveys for the purpose of refining and improving reports and other donor communications; utilize results to help suggest changes as needed

Produce and maintain metrics reports based on established departmental key performance indicators

Analyze and manage reporting templates, tools, and dashboards in support of regular and ad hoc reporting needs for departmental and external colleagues

Assist in appropriate training, advising, and mentoring to ASU and ASUF staff to optimize the effective implementation of donor relationships tools, systems, and processes

Attend meetings, plan agendas, monitor and ensure project compliance with objectives set by leadership and perform associated administrative functions

Respond to questions regarding the status of gifts, endowed funds, stewardship and recognition, and donor communications

Other duties as assigned

Ability to work strategically, develop and implement communication plans and processes in collaboration with internal partners and stakeholders

Ability to compose content quickly and accurately

Strong skill in writing in a business style

Strong proofreading and editing skills

Ability to operate and understand donor database, contact management and tracking systems: Salesforce, Advance, IFAS, Workday, and other donor database system(s), Microsoft Office Suite (Word, Excel, Outlook and Power Point), and related technology tools pertaining to marketing and communication

Understand and demonstrate an extremely high level of sensitivity to customer relations, embrace a donor-centric philosophy, etiquette protocol, and drive to deliver the best possible donor experience

Ability to maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential constituent information

Maintain a professional demeanor at all times.

Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone

Ability to work both independently and as part of a team

Problem solver who can take initiative and set priorities while being flexible

Ability to effectively manage complex situations involving numerous and sometimes competing constituencies and priorities

Ability to represent the institution well

An advocate’s belief in the vision of ASU as the New American University

Attention to detail, accuracy and thoroughness in completing assigned duties

Highly organized and able to handle multiple projects

Adept at navigating complex environments with evolving priorities and communication plans

This position may require some early mornings and evenings to accommodate meetings and events

Knowledge of standard office policies and procedures

Education/Qualifications

Bachelor’s degree in communications, business, marketing or non-profit studies and two (2) years’ experience in not-for-profit and/or related field, or any equivalent combination of project management and/or administrative experience that provides the required knowledge, skills and abilities. Preference given to candidates with writing, project management, administrative, non-profit development, customer service, and data management experience.
