Position Summary:
Under the direction of the Associate Director of Admissions, the Operations Assistant is responsible for providing assistance to the Recruiting and Admissions teams as well as front-line support for prospective and current students. Key job responsibilities include executing online webinars, writing & sending e-mail campaigns, providing front desk coverage on Mondays and as requested, and assisting with other recruiting, admissions, and marketing projects as needed. The successful candidate will work with the Assoc. Director and the marketing team to plan and execute a webinar schedule, including promotion, e-mail communications, creating & preparing materials, and hosting the online events. S/he will be responsible for updating and sending a wide range of e-mail communications on behalf of the Graduate Business Admissions team. In addition, the s/he will be responsible for providing front desk coverage on Mondays and when the Office Manager is not present, such as during lunch breaks; this includes greeting visitors, taking phone calls, and answering or appropriately referring questions. The Operations Assistant will also complete other marketing and admissions support projects as needed.
One to three years of related experience in an office setting preferred. Candidate must have strong written and oral communication skills as well as interpersonal skills. S/he must also demonstrate independent decision making skills as appropriate and be able to work well with a variety of constituencies: students, faculty, program managers, and administrators at all levels. Must be detail-oriented, professional, able to perform a variety of tasks, able to work with confidential information and prioritize tasks and demands. Must be a team player and have the flexibility to respond to meeting deadlines; good judgment and problem solving skills; ability to think and work independently; ability to take proactive initiative and action. Must have demonstrated facility and/or willingness to learn marketing software programs, including e-mail campaign systems and web content management systems. Experience using WebEx or other online event software is a plus. Must be proficient in Microsoft Office. Bachelor’s degree required with preference for a degree in marketing, communications, journalism, English, or related discipline.
