Summary Under the supervision of the VP Sales & Marketing and working with the Marketing Department coordinate the company’s Request for Proposal (RFP) process and serve as a staff writer in the department. Responsibilities include maintaining a standardized process for submitting proposals which contain consistent language, information, and visual look and format. Essential Duties & Responsibilities Collaborate with sales and service team, participate in RFP strategy meetings, gather information from subject matter experts, and create presentations and other related sales documents. Consolidate company information into concise written summaries to be used as templates for proposals. Continually edit, re-write and refine project content, customizing for specific prospects. Work effectively both independently and as part of a team. Communicate and interact with management, technical personnel and various teams. Collaborate with a creative team to create layout style, template and graphics. Learn, manage and maintain the RFP database software. Update and create company content on a continual basis. Track RFP statistics and communicate to appropriate team members. Load information into the database, ensuring it is accurate, and up to date. Respond to requests for customization to the database, and to reports generated from it. Serve as a staff writer and offer general support in the Marketing Department. Assist with drafting and/or editing press advisories, articles, marketing collateral and other content as needed. Qualifications Education and/or Experience Successful candidate will be a service oriented individual with high personal standards and a hands-on work style. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions. This position interacts with and provides service to a large group of internal associates and has high levels of contact with external vendors. The Proposal Coordinator and Staff Writer must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required: Successful work history to include 2 years of experience in a professional office setting directly related to job responsibilities specified above. Bachelor’s Degree in English, Communications or other related area of study strongly preferred. Excellent written and verbal communication skills required. Strong knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar. Experience creating and writing proposals and other business communications is preferred. Proficiency with personal computers and Microsoft Office applications (i.e., Word, Excel and PowerPoint) with the ability to operate standard office equipment is required. Skill in organizing resources and establishing priorities to effectively meet multiple deadlines. Demonstrated ability to resolve problems and present results neatly, with clarity and precision in oral and written form. Demonstrated ability to develop, plan, and implement short- and long-range goals. Maintain a valid Driver’s License & have reliable transportation. Work Environment & Physical Demands Ability to use computer keyboard and sit in a stationary position for extended periods. Work is performed in a typical interior/office work environment. This position requires the ability to stoop and bend regularly, and lift up to 25 lbs. Limited travel required. . Extended work required on occasion.
