The position works in tandem with departmental strategists to support events, logistics, tracking and creation of remarkable marketing campaigns. The duality of the role requires both administrative and strategic skills to ensure system growth, innovation and involvement in rapidly changing online and media advancements. \u003Cli\u003EServes as advisor and support system to marketing/communications team in support of departmental goals and objectives. Provides oversight for the project management database and coordinates all office traffic related to marketing projects. Rounds frequently with colleagues and clients to ensure in-depth knowledge of projects and how they impact departments\u2019 physical and online storage, distribution and budget. Serves effectively in knowledge by constantly reviewing project management system and providing insights on how projects overlap.\u003C/li\u003E
\u003Cli\u003EProvides support of events, including logistics and creation of tracking checklists. Involved in booking venues, catering, AV production and other details to ensure experience that exceeds customer expectations.\u003C/li\u003E
\u003Cli\u003EUnderstands and provides oversight of online registration system, pulls event rosters, and coaches distributed users on best practices and standards.\u003C/li\u003E
\u003Cli\u003EProvides ongoing analysis and expense reporting for department, inclusive of involvement with accounts payable, vendor negotiations, and preparation of purchase orders. Maintains records, credit card tracking, online expense reporting, and assists with new vendor initiations within payment system.\u003C/li\u003E
\u003Cli\u003EActively recruits and provides oversight of volunteers. Ensures project accuracy, understanding of assignments and solicits feedback.\u003C/li\u003E
\u003Cli\u003EManages distribution channels, including for inventories of all storage areas of supplies, printed materials, and check-out items. Works with colleagues to ensure promotional items are stocked, ordered and meet strategic needs. Collaborates with hospital departments to ensure racks, posters and other communications are updated regularly and inventoried. Assists with numerous online databases and files to keep photos, physician profiles and other media updated.\u003C/li\u003E
\u003Cli\u003EProvides feedback to streamline processes with end-user/customer needs in mind.\u003C/li\u003E
\u003Cli\u003EWorks with media relations to display articles, assists as needed with media, video, photography and other creative projects.\u003C/li\u003E
\u003Cli\u003EManages lists for internal departments, community organizations, and other marketing projects. Keeps lists updated regularly using ticklers to ensure ongoing accuracy.\u003C/li\u003E
\u003Cli\u003EAssists with time management system, including tracking of time-off requests. Involved in maintenance of schedules and multiple systems to ensure optimal departmental performance. Serves on various committees representing the Marketing team and coordinates/manages projects accordingly.\u003C/li\u003E

\u003Cli\u003EAssociates degree or equivalent experience. Preferred Bachelor\u2019s degree in marketing or communications services.\u003C/li\u003E
\u003Cli\u003EThree years\u2019 experience providing technical and administrative support within a marketing environment.\u003C/li\u003E
\u003Cli\u003EStrong knowledge of office software required, including spreadsheet experience for financial and resource utilization.\u003C/li\u003E
\u003Cli\u003EAbility to learn and use design and video software as well as emerging online platforms.\u003C/li\u003E
\u003Cli\u003EAbility to manage projects and processes and use leadership abilities to positively influence decisions.\u003C/li\u003E
\u003Cli\u003EKnowledge of video production and willingness to be involved in emerging communication platforms.\u003C/li\u003E
