Reporting to the Vice President for Communications and Public Affairs, the Executive Assistant provides high-level administrative support for the Vice President for Communications and Public Affairs of the Princeton University Office of Communications and Public Affairs. In this role, the Executive Assistant works regularly with the Communications and Public Affairs Office's senior leadership and campus partners on moving forward the priorities of the Office of the Vice President for Communications and Public Affairs. In addition, the Executive Assistant will provide high-level administrative and project support to the Vice President, who is responsible for overseeing the presentation of the objectives and activities of the University to all of its publics and serves as a spokesperson for the University, and responsible for the offices of communications, public (primarily state) affairs, government affairs (located in Washington, D.C.), and community and regional affairs.
Provides high-level and proactive administrative support to the Vice President for Communications and Public Affairs (VPCPA).
Serves as the initial point of contact for the VPCPA with other university and external offices, and makes independent decisions on routing and resolution of incoming calls and emails.
Represents the office to, and interacts with trustees (as needed), senior administrators, managers, faculty, staff, students, and distinguished individuals outside the University.
Works closely with the VPCPA to support campus partner and committee initiatives related to Communications and Public Affairs business, including creation and execution of materials (e.g., agendas, reports, minutes, presentations, and appointments).
Drafts, prepares and edits routine written correspondence, including presentation, agendas, and minutes as directed by the VPCPA.
Manages budget and expenses for the VPCPA.
Serves as a project manager on special assignments.
Tracks paid and unpaid absences for the VPCPA and the VPCPA's direct reports.
Schedules direct report and other internal Communications and Public Affairs meetings for the VPCPA and follows up on projects, conversations and appointments.
Maintains the VPCPA's calendar, exercising discretion and judgment as to priorities and effective use of the VPCPA's time including scheduling meetings, making travel arrangements, and preparation of materials.
Provides direction on priority of meetings and schedule setting, and briefs VPCPA in advance on all meetings and travel needs.
At least five to ten years of experience supporting executive level management, preferably in a higher education setting.
Ability to understand and be committed to the University's mission and culture.
Strong attention to detail, organization, prioritization, and information gathering and interpreting.
Computer proficiency, including a strong working knowledge of Microsoft Office suite of applications (Word, PowerPoint, Excel, Access, Visio, Outlook), and content management software. Knowledge of Princeton University internal systems including PeopleSoft and Concur is preferred.
Ability to respond quickly to changing business needs and to work with a high degree of flexibility and collaboration in a fast-paced, goal-oriented environment.
Ability to anticipate needs and to be proactive in helping to manage the VPCPA's time and priorities.
Excellent customer service skills, both internally and externally.
Discretion, good judgment, and commitment to keep confidential all data related to Princeton.
Demonstrated diplomacy and professionalism to work with and command the respect of colleagues, campus partners, and alumni.
Strong organizational skills, including the ability to set clear priorities and manage time well.
Ability to work independently and make sound judgments about projects, priorities and responsibilities.
