UW Medicine-Office of the Chief Health System Officer has an outstanding opportunity for an Administrative Assistant 3, Post-Acute Care and Special Projects. Under general supervision of the Chief Health System Office (CHSO) Administrative Operations Manager (AOM), the Administrative Assistant 3 provides professional, executive-level administrative support and coordination for the Administrator of Post-Acute Care (PAC) and program managers assigned to CHSO special projects.
This is a highly visible position as an executive assistant for health system department administrators, and the front face of special projects which may be sensitive in nature within the health system. This position will require a high level of professionalism, attention to detail, as well as strong project management and organizational skills, as well as the ability to change with quickly changing projects and balancing many projects that are high priority. Working relationships must be established and productively maintained. This role will directly contribute to the success of UW Medicine's strategic initiatives and programmatic deliverables, including the important maintenance of a strong communication network within UW Medicine and external organizations.
Onboarding of PAC and project staff as necessary.
The PAC departments report into the Director, Strategic Planning and Clinical Integration in the Office of the Chief Health System Officer. The Chief Health System Officer is responsible for providing leadership for the clinical health system for UW Medicine - this includes the medical centers, clinics, and clinically active faculty. The UW Medicine system includes Harborview Medical Center, **MEMBERS ONLY**SIGN UP NOW***. Medical Center, Northwest Hospital and Medical Center, Valley Medical Center, UW Neighborhood Clinics, UW Physicians, and Airlift Northwest.
Organize and manage overall business operations and administrative support for the PAC department. This will include overall support of the administrative operations, systems, and resources supporting the unit. Coordinate processes to maintain complex calendars, responding to time-sensitive information requests; develop and implement opportunities for efficiency in use of resources. Translate and articulate senior leadership’s vision, values, and mission for the organization.
Maintain the Administrator's and manager's calendars and commitments, resolving conflicts and proactively managing deadlines. Coordinate and prioritize workload to meet timelines and deadlines. Complete data analysis, statistical review, and report summaries related to projects and to prepare for presentations.
Support and take minutes for department meetings.
REQUIREMENTS:
Requires High School/GED AND four years of office or administrative support experience OR equivalent education/experience.
ADDITIONAL DEPARTMENT REQUIREMENTS:
Experience supporting an executive. Experience working in a high-profile, public-facing office with frequent representation of the team's priorities and commitments.
Proficiency with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Visio). Strong analytical skills to solve complex problems and situations. High attention to detail. Ability to communicate effectively with a variety of audiences. Demonstrated ability to develop action plans. Skilled development of reports, graphs, charts and other visuals as required. Skill to efficiently learn new applications. Ability to handle executive level confidential information with high level of tact, discretion, and diplomacy. Ability to work under pressure of frequent deadlines, constant interruption, and changing priorities in a high volume academic healthcare setting. Excellent verbal and written communication skills, including a professional demeanor and demonstrated competency in preparation of professional reports. Demonstrated a track record of exercising good judgment and taking the appropriate initiative, discretion within the scope of the position. Project management coordination experience in a large, complex organization.
DESIRED:
Prefer a Bachelor’s degree in Business, Communications, or Healthcare Administration. Experience working in an academic health system and/or executive-level office.
