The UW Finance Transformation Program (UWFT) is a $200M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.

The UWFT initiative has an outstanding full time opportunity for an Organizational Change Management Director

to play a key role in the implementation of the financial and supply chain ERP (Enterprise Resource Planning) modules including the modernization of related business processes throughout the institution.

The Organizational Change Management Director will play a key role in ensuring that the UWFT Program is understood and accepted at UW by an array of affected constituents ranging from daily to occasional users of the system, to other stakeholders who may raise questions or concerns regarding this effort, its associated costs, and outcomes / benefits. The Organizational Change Management Director will focus on the people side of change, including changes to business processes, systems and technology, job roles, and organizational structures. This position is responsible for overseeing the Change Management, Communications, and Training efforts of the Finance Transformation program to ensure that users are notified, engaged, and prepared to transition to the new system. This position is responsible for defining and implementing change management plans that maximize employee engagement to ensure successful adoption and transition to the new system, roles, and processes. A primary focus will be working with and coaching unit-level leaders and teams to ensure that units and departments maximize buy-in and minimize resistance and are able to leverage the UWFT change management framework and standards. Additionally, this position will oversee a team of communications specialists and trainers to ensure that all documentation coming out of the program is in line with the ultimate change management strategy and plan.

The Change Management Director will engage a team around accomplishing the following goals:

1. Leverage institutional knowledge to inform and enhance the technological, policy, and business process changes inherent in UWFT

2. Empower leadership to be change agents

3. Establish a culture of innovation; reducing the individual and collective resistance to, and dissatisfaction with these changes

4. Communicate and socialize change

5. Prepare units for change in order to minimize productivity loss caused by any and all activities of UWFT


Strategic Team Leadership

Manage, delegate, and prioritize the workload for the staff of the Change Management Office, to include Technical Change Managers, Communications Specialists, and Training and Instructional Design Specialists.

Work with staff to develop plans and activities to support the people-side change; support communication and training efforts for the units

Partner with functional project team members to ensure change management staff are well informed of system design, capabilities and impacts; integrate change management activities into their project plans

Build team capacity and competencies by hiring and/or leveraging contributed labor

Oversee the development of communications strategy and plan, ensuring that the communications to users and stakeholders are in alignment with change management strategy

Oversee the development of a robust training program to ensure end users are engaged and well-informed during the implementation phase, and thoroughly trained prior to go-live

Develop and Execute Change Management Strategy & Plans

Develop and execute a comprehensive, actionable, and targeted change management plan around changes to people, processes, and systems; apply a structured approach and methodology for people-side change including stakeholder analysis, coaching plans, communications, training, and resistance management plans

Work closely with Program leadership team to ensure change management strategy is included in program activities, and that impact to the University is considered continually to minimize stakeholder resistance

Participate in business process workshops to understand the current and future state business processes; assess the change impacts on the organization and roles

Support organizational design: understand the current organization and roles, design the new business organization structure, and map roles to the new structure; realign policies to the new design

Stakeholder / Change Network Coaching and Engagement

Provide subject matter expertise and guidance on the management of employee changes by advising/coaching organizational change specialists and unit-level leaders and managers (network of change champions) on the execution of established change management activities (e.g., communications / championing the process and system change, education and training, post go-live support, etc.)

Coordinate with other resources in central administration to provide assistance to unit-level leaders and managers in defining checklists and approaches for realizing cost and efficiency savings within their units

Identify potential people-side risks and anticipated points of resistance, and develop mitigation plans to address the concerns

Readiness Assessment and Measurement

Conduct readiness assessments, evaluate results, and present findings in a logical and easy-to-understand manner to sponsors and stakeholders

Create and manage measurement systems to track adoption, utilization, and proficiency of individual changes, and adjust change management strategies and tactics as necessary


Bachelor's Degree in communications, organizational development, HR management, behavioral psychology, business, or related field

Minimum of six years of experience with both theoretical and practical aspects of establishing and implementing organizational change management and employee support in an enterprise project context

Experience and knowledge of change management principles, methodologies, and tools (e.g., stakeholder analysis, change impact assessment, role mapping, organization design, readiness assessment, resistance management, etc.)

Experience Leading large, diverse, complex and decentralized organizations through enterprise-wide change

Analytical skills required to measure and assess the impact and effectiveness of change management activities, and to recommend and execute improvement actions

Excellent communication skills – both verbal and written, including active listening and the ability to clearly articulate messages to a variety of audiences

Strong group facilitation skills with demonstrated experience turning working session notes into high-quality deliverables

Demonstrated ability to effectively lead, supervise and delegate staff in a deadline driven environment

Ability to collaborate with senior leadership on change management matters

Ability to influence others and move toward a common vision or goal

Strong interpersonal skills to establish and maintain positive working relationships with a wide array of stakeholders, colleagues, and staff

Demonstrated ability to work independently and as a member of a team; ability to work collaboratively with and through others

Ability to conform to shifting priorities, demands, and timelines within a fast-paced environment

Strong business acumen and understanding of organizational issues and challenges

Strong organizational problem solving and root cause identification skills

Strong customer focus and excellence in relationship management with key partners

Demonstrated excellent written/oral communication skills, technical documentation skills, user liaison skills, and personal interaction abilities

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.


Experience working in higher education, large medical center, or other large complex and distributed enterprise

Program startup experience

Working with consulting resources

ERP, Workday or SaaS experience

Experience managing change in the context of an enterprise-wide system implementation / migration from a legacy system; understanding of project management approaches, tools and phases of the project lifecycle

Experience with process development and system analysis

Understanding of Financial, Supply Chain, HR and/or payroll processes
