PRODUCTION Coordinator – Santa Clara, CA
Complete daily scheduling, crewing, invoicing and administrative business functions of a global creative agency. Support Producers by assisting in locating resources, preparing budgets and calendars.
Responsibilities & Duties
Work closely with department personnel in all aspects of logistical and operational coordination as assigned
Act as key contact for external staffing, resource & equipment requests, travel and scheduling; Confirm and assign most appropriate people and equipment resources to each project for domestic and other locations
Generate estimates, manage and reconcile incoming invoices, equipment rentals, credit card receipts, expenses and other production documents for reconciliation
Manage project and facility scheduling for staff, freelancers and clients using internal software
Assist with the maintenance and organization of digital media assets
Work in the most proactive, creative and professional manner to provide the highest level of service to our clients (other business units within the company)
Assist with studio and location shoots on occasion, travel as needed
Other duties as assigned

Performs well under pressure; Well organized and capable of handling multiple assignments
Excellent verbal and written communication skills
Ability to interface effectively with a variety of people including team personnel, clients and vendors to establish productive, ongoing relationships
Strong results orientation to deliver seamless and timely services to customers
Proficiency in Microsoft Office, particularly Excel. Must be able to create and format spreadsheets, apply functions & formulas, merge & sort data
Familiar with media and production terminology
Familiarity with AtTask, Media Pulse, ScheduAll, or other project management or video production enterprise systems is a plus
Education & Experience
Degree in Communications, Marketing, Video/Film Production or related field is required
4 years agency or video production experience
2 years office administration, finance, accounting experience or communications role
