The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. We are currently seeking a Membership and Chapter Relations Specialist for the Association for Healthcare Resource & Materials Management (AHRMM), a professional membership group located in our Chicago office.


The Specialist, Membership and Chapter Relations, is responsible for membership and chapter relations recruitment and retention efforts for the Association for Healthcare Resource & Materials Management (AHRMM). This position administers, executes and implements membership programs that include onboarding, scholarships, mentor program, committees, surveys, and customer service. Tracks membership and chapter relations information, maintains databases, creates, and analyzes reports. Collaborates with supervisor and marketing team members on developing membership programs and planning member and chapter relations events. Contributes to member recruitment and retention goals.

Essential Functions

Collaborates with supervisor, Sr. Marketing Specialist and Marketing Specialist to plan and promote membership and chapter relations programs and events, on meeting membership goals, enhancing membership efforts, and to provide feedback on areas for membership program improvement.

Administers member benefits including the organizational membership program, the new member onboarding process, and mentor program. Including but not limited to tracking participation, developing and implementing communications, and leading quarterly new member orientation webinars.

Serves as the staff liaison for assigned committees that include Membership, Chapter Relations and Fellow Review that includes leading meetings and activities as well as determining strategy, agenda, and materials in collaboration with committee chairs. Administers the committee volunteer process, including executing the call for volunteers and coordinating placements with input from management team, and distribution of letters.

Administers the chapter affiliation program that includes collaborating with established chapters and promoting program, chapter leader sessions, assisting new chapters in development, maintaining and providing resources and tools to help develop chapters and ensure maintenance of affiliation requirements, chapter recognition program, chapter visits, and chapter CPEs applications.

Maintains AHRMM’s membership database as well as any related databases, documents or lists related to existing membership, prospects, fellows, chapter leadership and rosters. Trains AHRMM staff on database usage. Tracks and reports on membership recruitment, retention and financial data. Analyzes reports on membership programs, data, statistics, trends and surveys and makes recommendations based upon analysis.

Administers Fellow Program through collecting and reviewing applications, distributing awards, and working with Marketing and Communications Specialist to keep web postings up-to-date and ensuring new papers are included in the member magazine.

Administers scholarship programs for Annual Conference and CMRP exam and renewal that includes, but is not limited to: compiling and evaluating scholarship applications, coordinating recipient travel arrangements, working with marketing staff to update scholarship information for the website, maintaining database, handling recipient expense statements, processing reimbursements, and keeping within budget.

Edits and coordinates production and distribution of various membership and chapter materials and communications such as: invitations, scripts, presentations, monthly news and quarterly newsletters.

Executes production and distribution of various membership surveys that include bi-annual membership satisfaction, annual compensation, new member and volunteer satisfaction. Analyzes surveys, develops and implements recommendations.

Serves as the backup support for tier 2 level member customer service by responding to membership inquiries via email and telephone on a regular basis.



Bachelor's degree in Communications, Marketing, Business or similar.

3-5 years experience with a minimum of 3 years of experience in m

embership, membership marketing, or chapter relations is required.

Knowledge Requirements:

Knowledge of membership program and planning.

Must have excellent customer service and communications skills appropriate for a member-driven association.

Technical Requirements:

Proficient with Microsoft Office, including Word, Excel, and PowerPoint.

Knowledge of a Customer Relationship Management System is required, experience with an Association Management System (AMS) is preferred, Avectra experience is a plus.

Abilities Required:

Must be creative, self-motivated, and take initiative. Must be able to work with a team and take on new responsibilities as necessary. Must be resourceful, organized, and successful problem solver. Must be able to manage and prioritize multiple projects simultaneously and work in a fast-paced ever-changing environment.
