General Summary:
The Office Manager / Assistant to the Chief Information Officer (CIO) anticipates the needs of the Computer & Information Systems (CIS) leadership and assumes responsibility for all office management and general administrative tasks that increase department productivity. This includes scheduling meetings, coordinating events and travel arrangements, preparing reports/presentations, operational paperwork and filing, confidential handling of sensitive information and other duties as needed. The role also manages the department budget, processes contract renewals, oversees purchasing, assists with equipment inventory, and handles all essential accounting tasks.
Job Description:
Asset Management
Manages the inventory of technology equipment for the IT department. Coordinates procurement, order fulfillment, RMA/return of malfunctioning equipment, and sale of depreciated equipment. Ensures accurate tracking of inventory.
Budget Management
Manages all department accounting tasks. Provides timely processing of procurement card statements; monitors receipt of expense reimbursements; coordinates contract renewals and invoicing with vendors. Coordinates with the Office of Financial Affairs to process budget transactions, journal vouchers, purchase orders, RFPs, and fiscal year-end closing tasks.
Office Manager
Coordinates staff on boarding and off boarding tasks. Coordinate department events, team-building exercises, and book travel arrangements. Conducts general research and write department communications and blog posts. Creates and maintain department documentation, policies, and procedures. Handles sensitive information in a confidential manner. Maintains office supplies inventory; anticipate needed supplies and place orders.
Administrative Assistant
Anticipates needs of the CIO and CIS leadership to increase their productivity. Organizes and schedules meetings and events; manages the department calendar; takes detailed meeting minutes; processes mail and deliveries. Carries out general administrative duties such as filing, typing, copying, binding, scanning etc.
Personnel Management
Facilitates hiring and manages student administrative assistant/accounting positions. Provides training, assignment of duties, and evaluations of performance.
Continuous Improvement
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Develop sand implementsual new administrative processes to enhance productivity, efficiency and reduce cost.

Qualifications:
BS/BA degree or equivalent work experience.
2 years experience working in a professional office environment. Knowledge of filing / record keeping and basic office management.
Ability to juggle multiple tasks with superb accuracy. Excellent communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents.
Strong initiative, ability to self-manage and achieve results despite ambiguity.
Excellent Microsoft Office skills. Knowledge of operation of standard office equipment.
Preferred Qualifications:
BS/BA degree in Business, Communications, or related field.
5 years experience in an office manager, budget manager or administrative assistant role, a plus.
Familiar with higher education work environment.
Experience using modern documentation tools (such as wikis) and work management tools is desired.

Salary: $50,000 - $55,000 DOE
This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan. Tuition discount program available for the employee and qualified immediate family members.
